We collect only the information we need to provide a reliable, personalized AI engagement experience.

Account & Business Data
Company name, contact details, billing info, onboarding notes.
Conversation Data
Messages exchanged with our chatbots, attachments you upload, automation triggers you configure.
Usage & Diagnostics
Device type, browser, IP address, time spent, feature adoption, error logs.
Support Interactions
Emails, calls, and WhatsApp chats with our customer success team.

  • Provide customer support, troubleshooting, and proactive service notifications.
  • Improve accuracy, reliability, and safety of AI responses through aggregated analytics.
  • Measure feature adoption to prioritize product enhancements you have opted into.

4. Data Sharing & Processors

We do not sell your data. We share it only with trusted service providers who help us operate the platform.

Each vendor is vetted for security, restricted to the minimum data required, and bound by DPAs.

5. Data Security

  • TLS 1.2+ encryption for data in transit and AES-256 encryption at rest.
  • Role-based access controls, MFA enforcement, and least-privilege reviews for internal tools.
  • Automated monitoring, anomaly detection, and incident response drills.
  • Quarterly vulnerability scans and annual third-party penetration testing.

6. Data Retention

We retain personal data only for as long as needed to provide the service or meet regulatory requirements.

  • Conversation logs: 24 months by default, configurable per workspace.
  • Account information: kept during service and 24 months after cancellation unless deletion is requested sooner.
  • Billing records: retained for seven years to satisfy tax and audit obligations.

7. International Data Transfers

Your information may be processed in Singapore, the United States, or other regions where our infrastructure providers operate.

  • Standard Contractual Clauses or equivalent safeguards cover transfers outside your jurisdiction.
  • Data centers are selected based on compliance, redundancy, and proximity requirements.
  • Region-specific hosting can be requested for enterprise deployments.

8. AI Training & Automated Decisions

We fine-tune assistants on your approved content only when you grant explicit consent.

  • Default behavior keeps customer conversations isolated within your workspace.
  • Automated responses follow guardrails you define (approved FAQs, escalation rules, fallback workflows).
  • Human review is available on request for any automated decision that affects your customers.

9. Cookies & Tracking Technologies

We use essential cookies to keep the site secure and functional, plus optional analytics cookies to understand adoption trends.

  • Essential cookies: authentication, load balancing, security (cannot be disabled).
  • Analytics cookies: measure site performance; disabled until you provide consent.
  • Advertising cookies: not used on pixaroll.com.

10. Third-Party Links & Integrations

Our site may include links to other services (e.g., WhatsApp, app marketplaces). Their privacy policies govern your use of those products.

When you connect PixaRoll to external platforms (CRM, calendar, or messaging tools), we will only access scopes you authorize.

Your Privacy Rights

We honor GDPR, PDPA, CCPA, and other applicable regulations. You can exercise these rights at any time.

Access & Portability

Request a copy of the personal data we store about you, including conversation history and configuration files.

Correction

Update inaccurate information such as contact details, billing data, or knowledge base content.

Deletion

Ask us to delete personal data when it is no longer needed or when you withdraw consent.

Restriction & Objection

Limit specific processing activities or opt out of analytics and marketing communications.

Automated Decisions

Request human review of automated outputs that could have a legal or significant impact on you.
